Cancellations and Substitutions
All requests must be submitted in writing.
Requests for registration refunds due to cancellation must be received in writing to ASGCT@maritz.com. Cancellation requests received prior to 11:59 p.m. CT Friday, April 25, 2025, will incur a $100 processing fee deducted from each refunded registration. Cancellation requests received after April 25th will incur a $150 processing fee deducted from each refunded registration. Cancellations and refunds will not be accepted beginning on or after Tuesday, May 13, 2025.
Note: Cancelled registrations will not receive access to any Annual Meeting virtual content. Once processed, refunds may take up to four weeks to appear on your statement.
In-Person to Virtual Registration Switch
To switch from in-person to virtual attendance, requests must be submitted in writing to ASGCT@maritz.com by 11:59 PM CT on April 25, 2025, to receive a full refund of the fee difference. Requests made after this date will not be considered. In-person registrants also have full virtual access.
Virtual to In-Person Switch
Attendees may upgrade from Virtual to In-Person attendance via their online registration dashboard. The prevailing rate at the time of the change will determine the remaining balance to be paid.
Virtual Attendance Access
Each registration is for a single user only. You are not allowed to share your login or give anyone else access to your account. ASGCT does not allow multiple users to have the same login. ASGCT may immediately cancel or suspend your access to our event if you are found to have shared your login or if you give anyone else access to your account.
Transfer of Registration
You may transfer your registration to someone else within your organization. The registration cost will be adjusted accordingly if the transfer recipient has a different membership status (e.g., member vs. non-member). If a refund is due, it will be processed back to the original form of payment. The request must come from the original registrant and be made via email to ASGCT@maritz.com and include the following information:
- Name
- Job Title
- Email
- Phone
- Any physical accomodations requested
Policy on Attendance of Minors at the ASGCT Annual Meeting
To ensure everyone’s safety and to maintain an environment conducive to learning and networking, we kindly ask that attendees adhere of the following:
- Children ages 12 years and under are not permitted in the exhibit hall or session rooms at any time.
- Children ages 13-17 may enter the exhibit hall or session rooms with an Annual Meeting badge and must be accompanied by a registered attendee parent or guardian at all times. To register a child that meets this criteria, please reach out to meetings@asgct.org for assistance.
- Children under the age of 18 are not permitted in the exhibit hall during setup or tear down hours at any time.
- Event badges must be worn at all times throughout the conference and related events.
- Requests to include a child registration must be received in writing prior to 11:59pm CT on April 25, 2025 to meetings@asgct.org. After April 25, 2025, all changes will need to be made onsite.
To maintain a positive learning environment for all, ASGCT kindly asks that parents or guardians promptly address any disruptive or unsafe behavior exhibited by their children. ASGCT has the right to ask parents or guardians to remove their children from session rooms, the exhibit hall, or the venue if necessary. We appreciate your understanding and cooperation in helping us make this event professional and safe for everyone!
